Out & About Coordinator (Scheduler)

An exciting opportunity has arisen, the main aim of which is to drive scheduling efficiency and customer service improvement. You will oversee scheduling dedicated timetables based around the residents' needs and desires. The role is a key link between new and existing clients and internal teams.

Job Description

You will be responsible for the efficient scheduling of several Out & About dedicated bus timetables (with input from Conductors) and entering trip appointments for existing and new Out & About clients using our booking system. You will handle amendments to booked trips, the rescheduling of cancelled trips as well as organise risk assessments at requested locations to ensure suitability and accessibility within a reasonable timeframe ahead of the scheduled trip.

Working as part of a small team and closely with other teams in the business, you will build very strong working relationships across the business including the Out & About Team Leaders and Conductors. You will liaise with and coordinate the conductors on a day to day basis ensuring that they have their weekly timetable schedules. There will also be day-to-day contact with clients which will include the processing emails and answering telephone queries.

This role includes administrative responsibilities in the form of data entry to help with clear system reporting and to assist with the production of quarterly client impact reports. The role intercepts with teams across the organisation in different ways, therefore relationships and communication are key and being a team player is essential.

Requirements - What we’re looking for:

The successful candidate will have a strong mindset for taking on new challenges, a willingness to learn new computer systems and processes and will thrive in a dynamic and changing work environment.

You will be an excellent problem-solver with previous experience in an administrative and customer service role. Scheduling experience in a similar role is desirable.

Small Print

On offer is a salary of £20,000 - £24,000 per annum, subject to experience. We offer 25 days annual leave plus 8 statutory bank and public holiday and benefits include a day-off for your birthday, access to Perkbox and pension.
